August 15, 2004

TREASURER'S REPORT (Lana Brindle)
Golf and swimming still need to turn in end of year reports. Clubs present who still hadn’t received concessions money from last year, were given their checks.

ATHLETIC DIRECTOR"S REPORT (given by Paul Smithberger in Mark Aprile’s absence)
Fields are still being worked on, and have a way to go.

Open discussion about field conditions. Football field cannot be played on for a couple weeks, baseball and softball fields are still in poor condition. Lori Sanders and Lisa Reade, board liaisons, are encouraged to attend meeting so we can find out exactly what we can do about these situations, and who can be held financially accountable.

Getting Started- everyone introduced themselves and their sport affiliation.

NEW BUSINESS
Victory Bell
Mark Uher reports Park of Champions is on hold until field conditions are satisfactory. Meanwhile, a Victory Bell was installed on a brick base, through donations, to begin a new tradition. A motion was made for $365 to be donated to cover the cost of a brass plaque saying:

Motion made by Mark Uher, seconded by Bob Daniels. Motion approved.
Bob McFadyen brought up idea of placing a memorial plaque on the Victory Bell in memory of Trey Hunter, a PHSN athlete who passed away last year. Mark Uher suggested that board liaisons approve any plaques recognizing individuals. Paul Smithberger suggested that this would be a way of memoralizing any athlete, who in the future passes away during their athletic career at PHSN. Further discussion at future meeting.

Bob McFadyen reports that a free tailgate for students at PHSN and Lakeview will occur prior to first home football game, to promote school spirit and encourage students to attend.

CONCESSIONS COMMITTEE
*Lisa DeCarlo sent a report stating that schedules have been given to clubs for their assignments this fall. Bob McFadyen reports that basketball is covering the concessions for home football games 2 & 3, then football covers 6 of their games. Reminder made that each club benefits from their concessions. Mark Uher explained that for every event worked, you fill out the cash sheet and sport club assigned to that event gets 10% of all revenue from that event. (Cap of $2000 per sport club per year). That revenue is anticipated to be dispersed at end of season. Playoff games and tournament games will be assigned based on interest, and can be very profitable. Each club who meets all their obligations, also gets a flat fee amount ($400), at the end of the year.
*Cross Country reports that they have not seen a fall sport concessions schedule, others agreed. Paul will talk to Lisa to get schedules out.
*Mark Uher reports that new signs at concession stand are up.
*Gina needs to be reimbursed for participation fees for her kids, per approval at May meeting as a way to thank concessions manager, which is a very time consuming job.
*Bob Daniels is working with the fire department on getting an outdoor fryer for french fries. Plan has been submitted to Violet Township and Pickerington for approval. Bob has purchased two fire extinguishers, the rest of the equipment will be purchased when approval is made by city and township.
*Bob discussed indoor concessions- upgrading with needed circuits and electrical would be about $10,000. Bob suggested meeting with Bob Cruse and whoever else is interested in making a list of what has to be done, and trying to get the most important things done at a lower cost. *Popcorn maker and steam kettle have been fixed in football concessions.
*Bill Stewart (Columbus Graphics) donated signs for the press box. Thank you Bill!
*Bob McFadyen suggested having a logo painted on press box- Pickerington Panthers. Suggestion made to have art department possibly get involved with this.

FINANCIAL STATEMENTS
Due July 15th- turn them in if you have not already done so!! (each club is responsible for one)
Jerry Moore, the financial officer of the PABC, has resigned- looking for a replacement.

HOLIDAY TOURNAMENT
Bob Cruse is working on scheduling already, and will be asking each club to help. Profit from this event goes directly to athletic boosters.

EXECUTIVE BOARD REPORT
Minutes were provided. Car raffle will begin Oct. 3-15, as a joint fundraiser with Central. We are looking for a fund raiser coordinator (Dennis Schone has resigned). New idea for Monte Carlo night at Hickory Lakes in the spring.

MEMBERSHIP REPORT
$29,805 has been raised already this year, which is an increase of almost $8,000 from this time last year. Concern was brought up that Central’s membership is significantly down from that. It was explained that they did not have their membership person go to sport club’s meetings, which proved very successful.

Next meeting Sunday Sept. 19th at 7:30 PM in room 413 of Pickerington North High School.
Paul will be out of town, meeting will be chaired by Lisa.
