Pickerington Panthers Athletic Boosters Meeting Minutes
June 25, 2003

At 7:30 pm Mark Uher convened the meeting. Minutes from May 28th meeting move for approval by Tracie Campbell, seconded by Mitch Wilson- minutes approved.

MEMBERSHIP WORKGROUP (Uher)
Membership is really being pushed for revenue for Panthers Booster Club; form is on website pickeringtonpanthers.com
- New levels: $35 Booster Club goal: 200 members, $75 Conference Club goal: 100 members, $150 Winners Club goal 75 members, $250 Championship Club goal: 25 members.  **Various Panthers merchandise, tickets, etc. for each level
- Membership drive through past members, Violet Festival, various meetings, coaches to promote through their teams
- Help is needed in membership committee for membership drive

PROGRAMS WORKGROUP (Hope Boren and Tammy Corriveau)
- Advertising contracts have been sent out to approximately 100 past advertisers and 100 new advertisers
- Revenue from ads will be shared between two schools, sales of programs will be by school

LEGACY/SPIRIT WORKGROUP (Jim Marn)
- Suggesting Sunday August 24th for opening celebration
- Suggested agenda: 4pm opening ceremony, 4:30pm to 7:30pm building tours/Boosters fundraising dinner, 8pm pep rally and bonfire
- Mark Aprile suggested bumping everything up one week to August 17th so event will happen before first games; he will check into scheduled date for building availability from construction people
- Need volunteers for committees: Advertising, opening ceremony, building tours and food prep
- Mike Mahoney volunteered to help with advertising/promoting

CONCESSIONS WORKGOUP- FINAL REPORT (Geno Persichetti, Dick Schultz, Jim Langenderfer, Mitch Wilson)
All Pickerington Panthers Athletic Boosters (PPAB) concessions will be managed by GINA GEIST.

CONCESSIONS WORKGROUP RECOMMENDATION
1) All sport clubs concessions income goes to the Pickerington Panthers Athletic Boosters.
2) Sport clubs are responsible for working their own sport’s concessions during their season’s sport. Sport clubs will not be required to work an off-season sport concession. EXCEPTION: the following sports clubs may be assigned to work concessions for tournaments, special events and possibly another current season’s sporting event: cross country, tennis (boys & girls), golf (boys & girls), dance and swimming.
3) PPAB has the responsibility to supply each sporting event concessions materials, supplies, food and drink for each assigned concession slot.
4) PPAB will confirm concession date assignments with a designated representative from each sports club prior to each sport season.
5) By June 30 of each school year, it is the intention of the PPAB to provide each sports club that has worked their required concessions a share in the concession profits based on the number of athletes that completed participation during the sport’s season. Each sports club would be limited to a maximum of $2,000, regardless of the number of athletes that completed participation. Sport clubs failing to work assigned concessions become ineligible to receive funding.

Discussion:
- Mitch has researched the way other schools do concessions; the one consensus is most sports dislike working other sport’s concessions
- Sports clubs are responsible for working their own concessions; all revenue goes to main Booster Club
- Dates of events will be given to each sports club; supplies, food, etc. will be provided by PPAB
- Discussion regarding if there will be enough incentive for clubs to work hard enough to prepare, serve, etc. if their club is not getting direct compensation; parents are also asked to take tickets at gate- parents need to be involved and think it’s worth their while; why can’t it work like the past when a club is assigned an event that is not one they participate in? Parents are concerned about missing their child’s games or being overwhelmed in a busy season
- Mark Aprile stated that every dollar earned through concessions, gates, etc. is used for the athletes; clubs are only suppose to spend money on spirit clothing and banquets; out of town expenses for chosen tournaments are also club expenses; additionally we need to provide 100% of transportation costs- we need to raise money for the organization!
- Mark Uher suggested to try to get revenue share dispersed at the end of each sports season instead of June 30th of each year to provide money for banquets

Action Item: Vince Krivda motioned to approve report, Tracie Campbell seconded. Motion approved with two votes against.

Concessions Plan:
1) Concessions Manager- Gina Geist- will make sure money and supplies are there, gates are unlocked, etc. It is not her job to be there for every event and run the concessions.
2) Concessions Committee – Staffing Chairman: Mitch Wilson has every fall event and has list of the number of workers needed at each event and times to report. He turns that over to sports clubs.
3) Concessions Committee –Equipment Chairman: Bob Daniels was asked to co-chair committee to equip remaining concession stands: basketball high school and junior high, baseball and softball

Geno Persichetti reported that the original quote for $23,000 to equip concessions is now $16,000 due to Bob Daniel’s contacts.

Action Item: Motion made by Vince Krivida to approve above people for concessions subcommittees; seconded by Joel Melin. Motion approved.

PABC EXECUTIVE BOARD
Dick Schultz, Panther representative to Pickerington Athletic Booster Club Organization, reported:
1) Policies for financial management distributed
2) Fundraising ideas: 1. public utilities
2. Uno’s restaurant
3. Home team marketing (signs around stadium for big businesses)
4. Membership
5. Car raffle
6. Loyalty card
Next meeting main report will be regarding fund raising.

Levy committee has asked Dick and Geno to bring some things back to Athletic Boosters.
1. Football team asked to hand out pamphlets during Violet parade.

OTHER BUSINESS
Action Item: Jim Marn motioned to earmark $500 to student pep club, seconded by Tracie Campbell. Club will be supervised by Carla Fultz. Motion approved.
