Meeting Minutes

Don Gordon convened the meeting shortly after
Treasurer’s Report – May balance was $50,272.00. Lana Brindle was not present to give an update.
Athletic Director’s Report – Mark Aprile – Mark reported that the Athletic Department’s budget for 2008 school year was approved. Once again, this budget includes a $50,000 commitment from the Athletic Boosters. All head coaches have a copy of the budget and it is also on file at the Treasurer’s office.
Current Business:
Concessions/Athletic Booster Membership - Discussion was held regarding doing away with the $400 that is paid annually to each sport club when they complete all of their concession commitments. A motion was made by Joel Potts, seconded and approved by all that each club will now get a percentage of the Booster Membership drive based on the following scale:
90 to 100% (Of Sport Club Joined) 30% ($$ Returned to Club)
80 to 90% 25%
70 to 80% 20%
60 to 70% 15%
50 to 60% 10%
35 to 50% 5%
Less then 35% 0%
All sports clubs need to be aware that at least 10% of the total sport club membership must include at least 10% of the upper echelon of membership drive sales which relates to the $150 Winners Club and the /$250 Championship Club.
When reviewing the criteria in deciding changes, those present at this meeting were reminded that the membership drive is the biggest fundraiser for booster clubs. Currently at Olentangy Liberty, they have 93% Booster club membership from their families with children involved with athletics. Pickerington High has not yet reached 37%. Even if your child and/or children play more than one sport, you only have to join the Boosters Club one time – each sport will get credit for your participation. A motion was made by Joel Potts and seconded by Kim Toole that all sports clubs be held responsible for tracking their percentage of participation in the Booster Club and for making sure the membership forms are marked accordingly for their sport. Those present voted in favor.
The current choices for joining the Pickerington North Athletic Boosters will remain the same as last year. They are as follows:
$250 Championship Club
$150 Winners Club
$ 75 Conference Club
$
35 Panther Club (Students)
$ 25 Booster Club
All sports clubs should prepare to encourage membership by informing their parents at both the junior high and high school level. Each club should make the Booster Club aware of their set meeting dates so the new Athletic Booster President, Jim Yurasek; and Athletic Director, Mark Aprile, can schedule to attend and assist with information.
When all concession commitments have been completed, the Booster Club will issue checks based as follows:
Fall Sports October
1st
Winter Sports Feb 1st
Spring Sports May 1st
Each club will still be required to handle the concessions for their sport. If they opt not to perform the necessary concession function, it will be that club’s responsibility to get another club to cover and to inform Mary Beth Johann that coverage has been passed on. All clubs will still be required to assist with the Holiday Classic.
The Athletic Boosters currently give back ten percent of all concession income to the individual sports clubs on an annual basis. In addition to basing concession payout on membership participation, it was also moved by Vicki Phillips to raise this existing ten percent (10%) to twenty percent (20%). This motion was seconded by Sherry Spear, and approved by all present.
Vicki Phillips suggested a change to the Booster Membership
form by possibly adding an
Nike Apparel Program
– Both the Boosters and each individual sports club will benefit by utilizing
the Nike Apparel program. Each club will
receive 80% of the profits and the Athletic Boosters will receive 20%. Baseball and basketball have already taken
advantage of the program. It was also
mentioned that
New Club Officers – Don Gordon would like to remind all clubs that the Athletic Boosters needs your new officer information. We need names; addresses, phone numbers and email addresses for the President, Vice President, Treasurer & Secretary. The deadline for getting this information submitted to the Athletic Boosters is August 1st.
Budget discussions
were held at the May meeting and continued at this meeting. After concession and Booster membership
issues were resolved, the budget was reviewed again. A motion was made, seconded and unanimously
approved by those present.
Golf – The combined boys and girls golf club has asked to be separated into Boys Golf and Girls Golf individual clubs. Don Gordon reminded everyone that a two-thirds majority vote of those present was required and that the by-laws would have to be changed. A motion was made, seconded and unanimously approved for this club separation. The new name of the Girls Golf will need to be reported to the Boosters along with new officer information.
Other items – Joel Potts inquired about bringing back the car raffle that had been done in the past; however, review of the profits versus the work involved showed that it was not worth revisiting at this time.
Vicki Phillips inquired about the “brick paver” idea and stated that she would be willing to work with Mr. Aprile to get information out to the various clubs for this project. More information will be available on this at a later date.
